# Finance Analytics Dashboards — User Guide

## What this is

A single **Finance Overview Dashboard** bringing together eight finance analysis tiles in one
screen — no more navigating to eight separate reports to get a picture of where the business
stands. Each tile is a live, real-time view into GB5's finance data; nothing here is a static
snapshot.

## What's on it

| # | Tile | What it shows |
|---|------|----------------|
| 1 | **Profit & Loss Dashboard** | Period-bucketed P&L, waterfall-shaped (income → expenses → net) |
| 2 | **Receivable Dashboard** | Outstanding receivables — KPI summary, in-charge-wise breakdown, ageing buckets |
| 3 | **Budget vs Actual Comparison** | Budgeted vs actual figures side by side |
| 4 | **Cash Flow (Indirect)** | Indirect-method cash flow statement |
| 5 | **Bank Reconciliation Dashboard** | Book balance vs bank balance per account, plus pending (uncleared) instruments |
| 6 | **Ratio Analysis Dashboard** | Financial ratios computed from posted ledger data |
| 7 | **Filing Status Summary** | GST filing status across periods (Compliance) |
| 8 | **Active Compliance Alerts** | Open GST compliance alerts needing attention |

## How to open it

1. In the left navigation tree, look under the **Finance** module for **"Finance Overview
Dashboard"**. Click it — it opens as a new tab, same as any report or screen in GB5.
2. All eight tiles load automatically on that one page. If a dashboard ever has more than one
page, a row of page tabs appears at the top of the dashboard tab to switch between them — today
there's only the one "Finance Overview" page, so you won't see that row yet.
3. To keep it handy for next time, use the **"My Dashboards"** icon in the tab bar (the icon
labeled with a dashboard/customize symbol) — it lets you **pin** this dashboard to the top of
your list and reorder it relative to others. Note: that dialog is for organizing dashboards you
already have access to — it doesn't open one on its own; use the left-nav entry above for that.

## Using each tile

Every tile is a standard GB5 report view embedded in the dashboard, so the toolbar you're already
used to on any report works the same way here:

- **Export** — PDF, Excel, or CSV, from the toolbar on each tile.
- **Print** — same toolbar.
- **Mail** — send the current rendered view directly to an email address.
- **Schedule / Share** — submit the report as a one-off job and share the result with another user
(via the same "Schedule Report" action every report screen has).

If a tile looks empty, check the filter/criteria at the top of that tile first (period, OU, bank
account, etc.) before assuming something's broken — several tiles (Bank Reconciliation, Compliance
alerts) can legitimately show zero rows when nothing is currently pending or outstanding.

## Drilldown

One drilldown is wired today: on the **Bank Reconciliation** tile, clicking a pending-instrument
row opens the **full pending instrument list** in a new tab — the same underlying data GB5's
existing bank reconciliation screen uses. More drilldowns (e.g. P&L → ledger detail, Receivable
ageing bucket → bill-level detail) are designed and ready to add the same way, just not built yet.

## Filters

Where a tile supports it, you can filter by:
- **Multiple OUs or an OU Group** — see combined figures across more than one organizational unit
at once, not just one at a time.
- **BizDimension** (segment analysis) — only where your organization has this optional feature
licensed and configured; falls back to OU/Department grouping otherwise.

Currency conversion across OUs isn't built yet — today, combining multiple OUs assumes they all
post in the same currency. This is a known, deliberate gap (see Limitations below).

## For admins — giving other roles/users access

The dashboard is currently visible to two roles. To grant it to another role:

- This goes through GB5's standard dashboard-access mechanism (`MROLEVSDASHBOARD` /
`MUSERVSDASHBOARD`) — the same place any other dashboard's role access is managed. There isn't a
self-service "share this dashboard with a role" screen in the UI yet, so for now this is a
request to your GB5 admin/dev team rather than something you do yourself in the app.
- Each new tile's underlying menu also needs its own access grant (`MROLEVSMENU`) for a role to see
data on it — this is set up per-tile already for the two roles currently granted; a new role
needs the same done for it.

## Known limitations (honest, as of this write-up)

- **Single-currency only.** Combining figures across OUs that post in different currencies isn't
supported yet — there's no live client data to build and test this against right now, so it's
  deliberately deferred rather than half-built.
- **One drilldown wired, not all of them.** Only Bank Reconciliation → instrument list exists
today; the mechanism is proven and ready to extend to other tiles.
- **No self-service "share this dashboard with a role" screen.** Access changes go through your
  admin/dev team for now.
- **No "package multiple dashboards/reports for a scheduled review" feature.** Each tile can be
exported/emailed/scheduled individually today; bundling several into one periodic package (e.g.
a monthly finance review pack) is a separate, larger idea not built as part of this rollout.

## What's next

This is Finance's first rollout of a broader pattern GB5 is building out — the same recipe (pick
existing reports, wrap them as dashboard tiles, wire filters/drilldown/export) is intended to
follow for Inventory, Sales, and Purchase dashboards next.
