# Sales Analytics Dashboard — User Guide

## What this is

A single **Sales Overview Dashboard** bringing together sales analysis, pipeline, invoicing, and
receivables tiles in one screen — no more navigating to separate reports to see where sales stands.
Each tile is a live, real-time view into GB5's sales data; nothing here is a static snapshot.

## What's on it

| # | Tile | What it shows |
|---|------|----------------|
| 1 | **Sales Summary** | Period KPIs — sales value, realisation, quantity, COGS, gross margin, bill count, customer count, average/min/max bill value, cancelled bills, sales returns, net sales — plus the same figures broken out by organizational unit (OU). |
| 2 | **Sales Enquiry → Quotation → Order Funnel** | How many Enquiries, Quotations, and Orders are currently open, plus how long open Enquiries have been waiting (aging buckets). |
| 3 | **Sales Invoice / GST Dashboard** | OU-wise monthly sales/GST — detail, summary, and online-sales breakdowns. |
| 4 | **Sales by Customer** | Sales register grouped by customer/party. |
| 5 | **Sales by Item** | Sales register grouped by item. |
| 6 | **Sales Pending Status** | Active / unapproved / cancelled document counts across Enquiry, Quotation, Order, Invoice, and Return. |
| 7 | **Receivable Dashboard** | Outstanding receivables — KPI summary, salesperson-in-charge breakdown, ageing buckets. (Same tile Finance's own dashboard uses.) |
| 8 | **Collection Projection** | Forecasted collections against outstanding receivables. (Same tile Finance's own dashboard uses.) |

Two more tiles that already existed on GB5DEMO — **Sales Summary (Margin)** and **Sales Trend
Analysis** — are also placed on this page; they were wired to a report but had no dashboard home
until now.

## How to open it

1. In the left navigation tree, look under the **Sales** module for **"Sales Overview
Dashboard"**. Click it — it opens as a new tab, same as any report or screen in GB5.
2. All tiles load automatically on that one page.
3. To keep it handy for next time, use the **"My Dashboards"** icon in the tab bar — it lets you
**pin** this dashboard to the top of your list and reorder it relative to others.

## Using each tile

Every tile is a standard GB5 report view embedded in the dashboard, so the toolbar you're already
used to on any report works the same way here:

- **Export** — PDF, Excel, or CSV, from the toolbar on each tile.
- **Print** — same toolbar.
- **Mail** — send the current rendered view directly to an email address.
- **Schedule / Share** — submit the report as a one-off job and share the result with another user.

If a tile looks empty, check the filter/criteria at the top of that tile first (period, OU, etc.)
before assuming something's broken. Note: on GB5DEMO specifically, Sales Invoice activity is thin
(only 2 documents recorded), so the Sales Invoice / GST tile may look sparse there even though the
underlying logic is correct — this is a data-population fact about that particular environment, not
a bug.

## Filters

Where a tile supports it, you can filter by OU. Category/subcategory/brand/model, region,
salesperson, team, and OU-hierarchy breakdowns are **not available yet** — see Known Limitations.

## For admins — giving other roles/users access

The dashboard is currently visible to the same two roles as the Finance Overview Dashboard. To
grant it to another role, this goes through GB5's standard dashboard-access mechanism
(`MROLEVSDASHBOARD`/`MUSERVSDASHBOARD`) — the same place any other dashboard's role access is
managed. There isn't a self-service "share this dashboard with a role" screen in the UI yet, so for
now this is a request to your GB5 admin/dev team. Each new tile's underlying menu also needs its own
access grant (`MROLEVSMENU`) for a role to see data on it.

## Known limitations (honest, as of this write-up)

- **No Target vs Actual tile.** GB5 has a real target-definition system (targets can be split by
item, category, customer, salesperson, department, etc.) but nothing today compares actual sales
against those targets. This is real, planned future work — not a small tweak.
- **No breakdown by product category/subcategory/brand/model, region, salesperson, or team.** Only
the overall and OU-level views exist today. Building this properly needs new data-warehouse
infrastructure (an item/customer-level fact table and its supporting reference data), which is a
separate, larger piece of work than this rollout.
- **No stage-to-stage conversion rate** (e.g. "what % of Quotations become Orders"). The funnel tile
shows how many are *currently open* per stage, not the win-rate between stages.
- **No sales trend / value trend chart beyond what the KPI tile already shows**, and no
cycle-time-in-days metric — both are blocked by an existing data-population gap in this GB5
environment that also affects the Procurement dashboard, not something specific to Sales.
- **No Sales Order/Quotation → Lead source tracing.** GB5 has a data field prepared for linking a
sale back to the CRM lead it came from, but no part of the system currently populates it — there
is no live data to report on yet.
- **One drilldown pattern proven (Finance's Bank Reconciliation), none wired for Sales yet.** Adding
one (e.g. a tile row → the underlying document) is the same pattern, not new design work, when a
  real detail-view target is identified.
- **No self-service "share this dashboard with a role" screen.** Access changes go through your
  admin/dev team for now.
